This role involves collaborating closely with the client and other members of the Levy team, ensuring that clients receive exceptional service from the moment of initial event planning through to its successful delivery. The venue holds a prominent position as one of the world\'s premier venues for conferences and events. Event Manager, the primary goal is to uphold and enhance the reputation of Levy by consistently delivering exceptional customer service and maintaining the highest standards of quality. Key responsibilities include managing the Event Planning team, coordinating catering arrangements for various events, meticulously planning logistics, and ensuring that all client requirements are met with precision and efficiency. The role requires adept communication skills to liaise effectively with clients, and other stakeholders to ensure that every aspect of the event aligns with the client\'s vision and exceeds their expectations. Moreover, as part of the \'One Team\' ethos, Event Manager collaborates closely with other Levy and client teams, fostering a culture of teamwork and shared commitment to excellence. This partnership is rooted in a dedication to customer focus and delivering unparalleled quality standards, with the goal of achieving client delight. By embodying these values and working collaboratively across departments, the Event Manager plays a vital role in sustaining the Levy’s reputation for excellence and fostering long-term client relationships, thereby contributing to the continued success and growth of the organisation. KEY RESPONSIBILTIES: Event Strategy & Planning Develop and implement event planning strategies in line with the company\'s goals and objectives. Oversee the planning and execution of all events, ensuring alignment with client requirements and company standards. Coordinate pre-event communication with all internal departments, logistics, staffing, culinary, operations, marketing, finance and client facilities.  To administer all event related correspondence ensuring all contractual documents, deposits and final invoices are issued and paid according to company guidelines. Client Management Serve as the primary point of contact for high-profile clients, maintaining relationships and ensuring satisfaction. Conduct client consultations to understand event needs, expectations, and budget constraints. Lead client meetings, site visits, menu tastings, and event walkthroughs.  Team Leadership Manage the Leicester Tigers Event planning team. This incorporates annual leave, Employee relations, L&D and all aspects from a people perspective. Manage and mentor a team of event planners and administrative assistants. Allocate resources and delegate tasks to ensure smooth operations during event planning and execution. Provide ongoing training and development to the events team.  Vendor & Supplier Coordination Negotiate contracts with external vendors, such as event design companies, equipment suppliers, and florists. Manage relationships with key partners, ensuring timely and quality service delivery. Collaborate with the culinary team and other internal departments to ensure successful event outcomes.  Budget & Financial Oversight Develop and manage event budgets, ensuring profitability by controlling costs and maximising revenue. Adhering to the Levy pricing policies to maximise catering revenues and identify upselling opportunities. Approve event expenditures and negotiate competitive rates with suppliers and vendors. Provide post-event financial reports and analyses to the finance team and senior management.  Event Execution Oversee all logistical aspects of events, ensuring timelines, quality standards, and client specifications are met. Create and maintain full and concise Event Catering Proposals to ensure these are seasonally appropriate and the menu fits with the guests/delegate demographic. Ensure the smooth on-site delivery of services through the operations team, including food and beverage, setup, and staff management. Handle last-minute changes or challenges, ensuring minimal disruption to the event.  Quality Control & Compliance Ensure that all events comply with legal requirements, health and safety regulations, and food safety standards. Conduct regular reviews and assessments of event quality and service to maintain high standards. Implement best practices and guidelines to ensure consistency and quality across all events.  Innovation & Trendsetting Stay up to date with industry trends and bring innovative ideas to event design, service styles, and client offerings. Drive the development of creative, bespoke event concepts that enhance the company’s brand.  Client Retention & New Business Development Drive client satisfaction to encourage repeat business and long-term contracts. Work closely with the sales and marketing team to attract new clients and grow the company’s event portfolio.  Post-Event Evaluation Conduct post-event evaluations to assess success, identify areas for improvement, and capture client feedback. Use insights from evaluations to refine future event planning and delivery.            PERSON SPECFICATION:Qualifications: A professional qualification in event planning or management is a plus. Experience: Minimum of 3-5 years of experience in event planning, with at least 2 years in a leadership role within contract catering or hospitality. Proven track record of delivering high-profile events, managing large budgets, and leading diverse teams. Industry Knowledge: Strong understanding of the contract catering business, with expertise in food service operations and event logistics. Knowledge of current trends in catering, food service styles, and event technology. Leadership & Management: Excellent leadership skills with a hands-on approach to mentoring and developing teams. Strong project management abilities, capable of overseeing multiple events simultaneously. Client-Focused: Outstanding communication and interpersonal skills with the ability to manage client relationships at all levels. Proactive in understanding client needs and offering bespoke solutions.  Financial Acumen: Experience in budget management, cost control, and vendor negotiations. Ability to analyse financial performance and adapt strategies to improve profitability. Problem-Solving: Creative problem-solving skills to handle last-minute changes or unforeseen issues in a fast-paced environment. Attention to Detail: Meticulous approach to planning and executing events, ensuring every element is delivered to the highest standard. Adaptability: Flexibility to work irregular hours, including evenings and weekends, especially during peak event seasons. Personal Attributes: A passion for food, hospitality, and delivering exceptional client experiences. Highly organised, with the ability to handle pressure and manage multiple deadlines. Strong sense of creativity and innovation in event presentation and delivery. A team player with a collaborative approach to leadership.  Onto the good bits-Medicash -
