This position is responsible for reception services, visitor experience, workspace and meeting room management, AV and technical support, as well as the promotion and coordination of internal events. The role is central to ensuring an exceptional user experience, supporting health and safety compliance, and fostering an inclusive, professional environment.Key ResponsibilitiesCustomer & User ExperienceProvide a warm, polite, and professional welcome to all office users and visitors.Act as the go-to contact for all workplace users, building strong relationships across all levels.Conduct onboarding inductions for new starters and users.Meet and greet visitors, assisting with navigation of the workspace.Showcase Sodexo’s Vital Spaces as a corporate, sustainable offering through client showarounds.Front of House OperationsManage all reception duties and maintain a polished front-of-house presence.Oversee room and desk bookings, including weekly room confirmations.Provide AV support to meeting rooms, town halls, and users.Deliver first-line technical support and escalate issues as needed.Manage internal and external event planning, including daytime and evening conferences.Facilities Support & MaintenanceConduct daily workspace checks and regular safety walks.Monitor adherence to office house rules and health & safety compliance.Coordinate with service partners to report and follow up on faults or issues.Maintain and support Multi-Functional Devices (MFDs) and drinks machines, including first-line repairs and toner replacement.Replenish stationery hubs and hospitality stock as needed.Understand and support all building support services, stepping in where required.Reporting & AdministrationPrepare and deliver monthly reports for Vital Spaces and Waste Management using PowerBI.Manage access badge issuance and deletion processes.Distribute and manage mail and courier services.Support archiving processes and user inquiries.AccountabilitiesUphold consistent five-star service and user satisfaction.Ensure meeting rooms and shared spaces are clean, operational, and AV-ready.Foster continuous improvement through proactive feedback and solution suggestions.Maintain full compliance with health, safety, hygiene, and fire regulations.Promote teamwork and effective communication with all stakeholders.Present a professional image, adhering to uniform and conduct policies.Key Performance Indicators (KPIs)Positive feedback and consistent service satisfaction from workspace users.Timely resolution of faults and user concerns.High visibility and approachability across the workplace.Compliance with SLA standards and internal policies.Well-maintained equipment and replenished supplies.Knowledge, Skills & ExperienceEssentialHigh-level customer service and concierge experience in premium environments.Proven experience in delivering multi-service operations within a global corporate hub.Familiarity with mailroom operations and hotel-style service delivery.Strong interpersonal and communication skills; friendly, professional, and polished.Microsoft Office proficiency and working knowledge of PowerBI.Ability to handle feedback professionally and remain calm under pressure.Flexible, proactive, and solutions-oriented with a hands-on, can-do attitude.DesirableExperience with AV systems and first-line technical troubleshooting.Awareness of brand protection and discretion in sensitive environments.Demonstrated resilience, attention to detail, and the ability to work independently.Additional InformationOccasional overtime may be required to support business needs and events.Must be willing to attend training sessions and participate in client events.Uniform provided; appearance standards must be maintained at all times.
