To work as part of an administrative team providing a high quality and responsive single point of contact, booking appointments for the Surrey Child and Family Health service offering.The post holder is responsible for triaging telephone calls to ensure efficient day to day operation of processing appointments and referrals across the services.  BaseThe Single Point of Access function supports our Surrey-wide service, and you will be based at one of our Office Hubs across Surrey with the opportunity for hybrid working. HCRG Care Group is a flexible-first employer, whilst you will have an office base, our teams are agile and work in flexible/hybrid arrangements Package DescriptionAs a Bank Administrator, you will be part of our valued team within our Surrey Child and Family Health Services, with access to:Self-booking and access to all bank shifts! Staff are given access to all Bank shifts within their Business Unit and can self-book providing they meet the shift requirements.Request a Duty – Staff can make shifts or Day Off requests prior to the creation of a roster up to six weeks in advance. You will be encouraged to apply for national funding to drive your initiatives locally to benefit our patients and service usersWorking in an environment focused on the highest clinical and quality standards with the majority of our rated services considered overall good or outstanding by the Care Quality Commission.Main ResponsibilitiesServe as the first point of contact, managing calls and directing as needed.Log all information in EMIS, ensuring accuracy with appointments, referrals, and contact details.Handle complex booking requests via phone or in-person, coordinating with other services when necessary.Communicate with parents/guardians regarding appointments, correspondence, and DNAs.Provide administrative support to clinicians and colleagues.Assist with referrals for various services like Community Paediatrics, Occupational Therapy, and Physiotherapy.Schedule appointments, ensuring adherence to the 18-week RTT pathway.Liaise with parents and outside agencies to gather information.Answer calls and communicate with clients professionally and efficiently.Train new staff on processes such as referrals, appointments, and system usage.Coordinate with clinicians for multidisciplinary meetings and appointments, including the CDAC.Assist in managing doctors' rotas for annual leave and meetings.Handle internal and external telephone calls efficiently from various services.Collaborate with clinicians and staff as needed.Work closely with the Team Coordinator, Administration Lead, and colleagues at all levels.Undertake additional duties as required consistent with the role.The Ideal CandidateEssential:GCSEs in English and Maths (Grade C or above) or equivalent.Experience in administration or customer service.Strong verbal and written communication skills.Ability to prioritize and coordinate work independently and with others.Proficient in Microsoft Office and confident telephone and keyboard skills.Flexible team player with excellent time management.Self-motivated with good organizational and planning skills.Ability to stay calm in a busy environment and deliver excellent customer care.Desirable:NVQ Level 3 or equivalent experience.Experience in Children’s Services or the NHS.Familiarity with EMIS/SystmOne.Understanding of safeguarding principles.Experience handling sensitive issues and using databases.About The CompanyWe change lives by transforming health and care. Established in 2006, we are one of the UK's leading independent providers of community health and care services, working with health and care commissioners and communities to transform services with a focus on experience, efficiency and improved outcomes.
