About The Role
The Vacancy & Referral Lead North Division will be responsible and accountable for ensuring a full Vacancy and Referral Process for Salutem is refined and managed effectively to increase and secure placements for individuals requiring access to Salutem’s services across our adult residential and supported living services in the North Division.
The key focus will be to ensure you facilitate the growth and effectiveness of referrals by driving, developing and maintaining the process and liaising with both internal and external stakeholders. The role will involve promoting Salutem services to existing and new commissioners and developing relationships that ensure we maximize the occupancy within all our services, enabling us to provide outstanding care.
Location: Home Based
Hours: 40 HPW- £30k and after 6 month probation moves to £35k.
The post holder will be responsible to the Group Head of Business Development and will
- Update and maintain Salesforce data as the Service User Register, making sure content is accurate and up to date:
- Recording the referral pipeline data on both SharePoint Tracker and Salesforce
- Monitoring and reporting on the reason for non-conversion of referrals.
- Complete the agreed process for all Enquiries through to Admission or Closure for all vacancies in the North Division
- Updating and reporting on new admissions/transfers/discharges, acquiring all relevant data from the relevant stakeholder group.
- Maintain the Salesforce database of external stakeholders contact details
- Advise the finance team of admissions/discharges/transfers within the organisation, changes in fee levels, observations and any other relevant changes
- Serve as the first point of call for enquiries / referrals, taking details and forwarding to relevant teams.
- Liaise with service managers regarding any enquiries they receive directly.
- Act as the Point of Contact for referrals arriving through Salutem generic referral email address and any group company website referral portal.
- Log and monitor new and existing contacts and fee changes.
- Support the development and distribution of Marketing mail shots by preparing stakeholder contact lists and bounce backs, obtain new contacts and ensure the necessary consent is in place, if required, for marketing
- Promote the organization and specifically services in the North Division with commissioning authorities through a range of media, marketing materials, Team meeting, Face to Face meetings
- Report on divisional occupancy, pipeline, admissions/discharges.
- Provide any ad-hoc report from the data in the Service User Register to internal staff.
- Support in the annual fee increase processes and procedures as necessary.
- Support the Business Development team in processing enquiries and referrals across all
divisions as and when required.
- Help Service Managers to co-ordinate assessments when required for new referrals and
to liaise with external referring parties on request.
- Support any conference / Provider / Commissioner event activity and be ‘front of house.’
if the Company is represented.
- Work closely with finance team ensuring correct fees are agreed with the referring body
prior to placement.
- Be the ‘go to’ person within the organisation for all referral and vacancy queries and
questions relating to vacancies in the North Division
- Respond positively and professionally to all referrals from commissioners, ensuring the
quality of information enables the identification of placements that meet the needs of
the people we support. - logging enquiries received where we are unable to provide a service at this time in such a
manner so that gaps in the market and future trends can be identified and analysed.
