We\'re recruiting an experienced Office Co-Ordinator who is friendly, adaptable and can confidently manage general administrative duties for 14Forty on a full time basis, contracted to 40 hours per week.Here\'s an idea of what your shift pattern will be:Mon: Full-time (Days)Tues: Full-time (Days)Weds: Full-time (Days)Thurs: Full-time (Days)Fri: Full-time (Days)Here\'s what you need to know before applying:Your key responsibilities will include:Act as the first point of contact for staff and guests, providing excellent customer service and ensuring a positive experience.Manage front-of-house spaces, ensuring they are presentable and always welcoming.Support the coordination of workplace events and meetings, ensuring appropriate setups are in place.Ensure that all office and meeting room areas are clean, stocked, and in good condition, reporting any maintenance needs.Maintain clear and professional communication across all teams, ensuring requests are handled in a timely manner.Set up and maintain event spaces, including arranging refreshments, seating, and equipment as necessary.Assist with logistical planning for office events, meetings, and functions, ensuring all needs are met.Provide front-of-house support during events, ensuring guests are welcomed and any requests are promptly addressed.Coordinate regular orders and deliveries to maintain adequate stock levels.Assist in monitoring and maintaining office equipment, supplies, and facilities.Liaise with external vendors, contractors, and suppliers for maintenance or service requests.Handle general administrative duties such as scheduling meetings, managing correspondence, and preparing reports for the facilities team.Maintain records of office inventory and manage supplies for kitchens, restrooms, and common areas.Assist with health and safety compliance by ensuring that safety equipment is maintained, and procedures are followed.Conduct regular checks to ensure the office complies with health and safety regulations.Answer and direct phone calls, emails, and other inquiries with professionalism and efficiency.Provide regular updates and reports to the Facilities Manager regarding office conditions, issues, and upcoming events.Escalate concerns and issues to the relevant team members when needed.Provide ad-hoc administrative support for projects and other needs as required by the facilities team.Assist with any other tasks that contribute to the effective management of the workplace and excellent customer experience.EssentialOne year of customer-facing experience in a similar role Possess strong verbal and written communication skills.Good IT skills, with knowledge of Microsoft office.Demonstrate reliability, attention to detail, and independence.Exhibit a helpful and positive demeanour.Maintain a professional and respectable appearance.Adapt well to a diverse workplace environment.Embrace and welcome change positively.Show flexibility in adapting to various work practices and demands.Act responsibly and be trusted to work unsupervised.Commit to contributing positively to service improvements.Strong organisational skills and attention to detail.A proactive approach to problem-solving and handling requests.Positive, friendly attitude with a strong focus on customer experience.Understanding of AV equipment and support needs.DesirableFirst Aid Trained (we will provide training if required).Fire Marshal Trained (we will provide training if required).As part of Compass you\'ll help to feed people, fuel progress and forge connections in around 6,000 venues.
