What you’ll do:
Ensure that you know and understand the daily work schedule/rota so that you are fully conversant with your expected duties
Ensure that all Clients/Guests are welcomed appropriately and attended to in a professional manner from the moment they arrive at Leonardo 1EP and throughout their journey.
Assist with helpdesk requests by liaising with different departments to ensure the building is running smoothly with little to none disruptions
Ensure that your workspace is kept free from personal belongings and clutter at all times
Book/ update all meeting rooms, hospitality requests into system and using the hospitality form – ensuring compliance is followed at every juncture.
Ensure that all guest coffee area, reception and meeting rooms are checked regularly and are kept tidy, free of cups, clutter and in a good state of repair at all times and to report any defects to the relevant department.
Flexibility on shifts, patterns, work methods and departments to help ensure the smooth running of the site ensuring you are an advocate for Sodexo and the client
Liaise with Hospitality and other departments to ensure the smooth operation of the department
Ensure passes are prepared for every pre-booked guest
Maintain an updated ‘VIP’ gallery and key information of Leonardo’s Senior Executives and Directors
Maintain and update reception manual around procedures, key responsibilities, and duties
Assist with set up of meeting rooms, moving tables and chairs when required
Log any defects and cleaning issues and follow up as required
Report immediately any incidents or accident, fire, theft, loss, damage, unfit food or other irregularities and take such action as may be appropriate
Report to your line manager and, when possible, take action for any customer compliments or complaints
What you bring:
Previous experience in Corporate Service Reception or Hotel Reception (6 months minimum)
Meeting room booking systems
Switchboard operations/systems
Hospitality services
Excellent communication skills with a keen eye for attention to detail
Calm under pressure
Customer focused with the ability to understand the needs of a client/visitor
Self-motivated and able to think ‘outside of the box’ in order to deliver a ‘best in class’ service
Positive approach to learning in role and identifying own training needs as appropriate
Self-motivated and able to work on own initiative within a team environment
Dealing with complaints whilst maintaining a professional outlook and positive attitude
